EVENTS TERMS & CONDITIONS

This applies to all FinTech Australia events, including conferences, forums, workshops, roundtables, networking events and social functions, whether held in person, online or in a hybrid format. 

By registering for or attending any FinTech Australia event, all attendees, including speakers, sponsors, exhibitors and guests, agree to comply with this event Terms & Conditions. 

1. Cancellation Policy 

1.1. Consumer-Initiated Cancellations: 

  • All cancellations must be made through the registration page. 

  • Cancellations received 30 days or more before the event date are fully refundable. 

  • Cancellations received between 16 and 29 days before the event date will incur a 25% cancellation fee. 

  • Cancellations received 15 days or fewer before the event date are not refundable. However, registration may be transferred to another attendee. All changes must be made through the registration page. 

1.2. Organiser-Initiated Cancellations or Changes: 

● If the event is cancelled by the Event Host, all attendees will receive a full refund. ● If the event date, venue, or key features are significantly changed, attendees who cannot or choose not to attend may request a full refund. 

2. Liability and Personal Responsibility & Insurance 

  • Attendance at events is voluntary, and attendees are responsible for their own participation. 

  • Event registration fees do not include insurance. FinTech Australia recommends that all attendees take out personal travel insurance to cover: registration cancellation, accommodation, flights, personal injury, and loss of or damage to personal property. and other incidental expenses as appropriate to their circumstances. 

  • To the extent permitted by law, FinTech Australia does not accept responsibility for an attendee’s decision not to obtain insurance and is not responsible for insurance-related claims made by or on behalf of attendees. 

  • In the event of industrial action, public health events, or other circumstances beyond FinTech Australia’s reasonable control, FinTech Australia will not be responsible for any losses incurred by attendees, subject always to any rights or remedies that cannot be excluded under the Australian Consumer Law or other applicable legislation.

3. Event Changes and Scheduling 

FinTech Australia reserves the right to make changes to event programs at any time, including changes to speakers, session content, timings, venues or event formats. Events may be postponed, rescheduled or cancelled at FinTech Australia’s discretion. 

4. Force Majeure 

FinTech Australia will not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control. These may include, but are not limited to, acts of God, war, terrorism, strikes, lockouts, public health emergencies, transport disruptions, government restrictions or failure of third parties to deliver goods or services. In such circumstances, FinTech Australia is relieved of its obligations for the duration of the event. 

5. Recording and Photography 

  • FinTech Australia events may be recorded or photographed. 

  • By attending an event, attendees consent to the recording and use of their image, voice and likeness for promotional, educational and reporting purposes, including use on websites, social media, marketing materials and internal communications. Content may be shared publicly without restriction. 

  • If an attendee does not wish to be recorded or photographed, they must notify FinTech Australia in writing at least two weeks prior to the event. FinTech Australia will make reasonable efforts to accommodate requests but cannot guarantee exclusion from all recordings or images. 

6. Privacy and Data Use 

  • FinTech Australia collects and uses personal information in accordance with its Privacy Policy. Information provided during registration is used for event administration, communication and related activities. 

  • By registering, attendees may receive communications from FinTech Australia and, unless they opt out, from event sponsors. FinTech Australia does not sell, trade or rent personal information to third parties. 

7. Accessibility and Dietary Requirements 

  • FinTech Australia will take reasonable steps to communicate notified accessibility and dietary requirements to relevant venues and catering providers when advised in advance. 

  • While FinTech Australia can guarantee that such requirements will be shared as received, the organisation does not control or guarantee the capabilities or limitations of third-party food and service providers.

  • If a specific dietary or accessibility requirement cannot be accommodated by the venue or supplier, FinTech Australia will notify the attendee as soon as practicable to discuss available options. 

8. Ticket Tier Eligibility 

Fintech Australia offers tiered ticket pricing based on membership status: Member, Partner, and General Admission. It is the responsibility of the ticket purchaser to select the correct tier that corresponds to their current status with Fintech Australia. 

8.1. Incorrect Tier Purchases: 

If a ticket is purchased under an incorrect tier, Fintech Australia reserves the right to:

● Cancel the incorrectly purchased ticket, and 

● Offer one of the following options: 

○ A full refund of the ticket price, or 

○ An upgrade to the correct tier upon payment of the balance owing 

Fintech Australia will make reasonable efforts to contact you to resolve the discrepancy prior to the event. However, failure to rectify an incorrect tier purchase may result in denial of entry to the event.

9. Code of Conduct 

FinTech Australia is committed to providing a safe, inclusive and respectful environment for all participants. All attendees must: 

  • Treat others with respect, dignity, courtesy and fairness; 

  • Respect the privacy of others; 

  • Not engage in discrimination or harassment of any kind, including on the basis of gender, gender identity or expression, sexual orientation, disability, physical appearance, race, ethnicity, religion or age; 

  • Maintain a cooperative and professional approach in all interactions; ● Avoid behaviour that is disruptive, offensive, intimidating or inappropriate;

  • Not support, encourage or participate in protests or activities that disrupt the event or its participants. 

This Code of Conduct applies to all aspects of events, including sessions, social activities, online platforms and all related communications.

10. Reporting and Enforcement 

  • Any behaviour that breaches these terms should be reported to FinTech Australia event staff. 

  • FinTech Australia will take reasonable steps to handle reports sensitively and, where possible, protect the anonymity of individuals raising concerns. 

  • FinTech Australia reserves the right, at its sole discretion, to refuse entry to or remove any individual from an event without warning if they are found to be in breach of these terms or behaving in a way that is disruptive or inappropriate. 

  • Removal does not entitle the individual to any refund of registration fees, travel or accommodation costs. 

  • Individuals removed may also forfeit the right to speak, present or participate in future events.
